Who we are

Gathr is a platform for organizing reunions and group events, operated by KLS Consulting LLC ("Gathr," "we," "us," or "our"). When you use Gathr — whether as an organizer or a member — you're trusting us with your information. This policy explains what we collect, how we use it, and how we protect it.

What we collect

Information you give us directly:

• Your name and email address when you sign up or are invited
• Event details, RSVP responses, and any other information you enter into the platform
• Contact information you import when building a member roster

Information we collect automatically:

• Basic usage data — which features you use, when you log in, and how you interact with the platform
• Device and browser information (type, operating system, screen size) for compatibility and performance
• IP address, for security and abuse prevention

We do not collect payment information at this time.

How we use it

We use the information we collect to:

• Provide and improve the Gathr platform
• Send transactional emails — invitations, magic login links, RSVP confirmations, and organizer notifications
• Surface contextual guidance to organizers (e.g., "it's time to send a reminder")
• Build aggregate, anonymized engagement patterns across the platform — for example, understanding what RSVP response rates look like across similar groups, or what communication timing works best. This helps us make the product smarter for everyone. Your name and personal details are never part of these patterns — only anonymized behavioral signals (did someone RSVP, how quickly, how many times were they contacted).
• Meet legal obligations and prevent fraud or abuse

We do not sell your personal data to third parties. We do not use your data to serve advertising.

How we share it

We share your information only in these limited circumstances:

• With service providers who help us operate the platform: Supabase (database and authentication), Resend (email delivery), and Cloudflare (hosting). Each is bound by confidentiality obligations.
• With other members of your group — your name and RSVP status are visible to the organizer and, where the organizer has enabled it, to other members of the same event.
• With affiliated institutions — if your group is affiliated with an institution (a university, fraternity, sorority, or civic organization), we may share aggregate and anonymized engagement data with that institution. For example: how many members of a class attended their reunion, or broad engagement trends over time. We do not share your name, email, or any personally identifying information as part of this. Public K-12 school data is never included in institutional reporting.
• As required by law — if we are compelled by valid legal process, we will notify you where permitted.

Text messages (SMS)

If you opt in to SMS notifications from Gathr, we collect your mobile phone number and use it solely to send you messages you have requested — such as event reminders or RSVP confirmations. You can opt out at any time by replying STOP to any message we send. We do not share your phone number with third parties for marketing purposes. Standard message and data rates may apply.

Gathr does not currently send text messages. When we introduce SMS features, we will obtain your explicit consent before sending any messages.

Data retention

We keep your personal data for as long as your account is active. If you ask us to delete your account, we will remove your personal information within 30 days, except where we are required to retain it by law or for legitimate security purposes.

Organizers may archive event data indefinitely. If you were a member of an event and want your RSVP data removed, contact us at hello@planwithgather.com.

Your rights

Depending on where you live, you may have the right to access, correct, or delete the personal data we hold about you. You may also have the right to object to or restrict certain processing, or to data portability.

To exercise any of these rights, email hello@planwithgather.com. We will respond within 30 days.

Security

All data is encrypted in transit (TLS) and at rest. Authentication uses magic links — there are no passwords to steal. We use row-level security on all database tables to ensure users can only access their own data. We take security seriously, but no system is perfectly secure. If you discover a vulnerability, please disclose it responsibly at hello@planwithgather.com.

Cookies

Gathr uses session cookies strictly to keep you logged in. We do not use advertising cookies or cross-site tracking. We do not use Google Analytics or similar third-party analytics services.

Children

Gathr is not directed at children under 13. We do not knowingly collect personal information from anyone under 13. If you believe a child has provided us with their information, please contact us and we will delete it promptly.

Changes to this policy

If we make material changes to this policy, we will notify you by email before the changes take effect. The effective date at the top of this page will always reflect the current version.
